2. Data we collect
Candidates and contractors
- Identity and contact: name, email, phone, location, right-to-work status.
- Professional: CV, work history, skills, references, rate expectations, notice period, availability.
- Engagement records: interview notes, submissions, feedback, placement history.
- Where required for a specific role: identity documents, professional certifications.
Clients and contacts
- Name, job title, business email and phone, company details.
- Role briefs, correspondence, contract records.
Website visitors
- IP address, browser, device and pages viewed, collected via basic analytics.
- Anything you send us through a contact form or email link.
3. Where we get it
Directly from you (email, calls, application forms), from public professional sources such as LinkedIn where you have made your profile publicly available, from referrals you have consented to, and from clients providing role information.
4. How we use it and our legal basis
- Matching candidates to roles — legitimate interest (running a recruitment business) and, where required, your consent.
- Placement and contract administration — performance of a contract with you or the entity you represent.
- Market updates, salary guides and relevant role alerts — legitimate interest, with an easy opt-out on every message.
- Legal, tax, AML and audit records — legal obligation.
- Site security, fraud prevention and analytics — legitimate interest.
5. Who we share it with
We share personal data only where necessary, and only with:
- Clients — when we submit you for a role, with your knowledge.
- Referees — when you have named them and, where relevant, consented.
- Our processors — see subprocessors below.
- Advisers and authorities — accountants, lawyers, HMRC, regulators where required by law.
We do not sell personal data.
6. Subprocessors
We use a small number of vetted providers to run the business. Each is bound by a data processing agreement and processes personal data only on our instructions.
- Applicant Tracking System (ATS) — storing candidate and role records, managing shortlists and correspondence.
- Sage — accounting, invoicing and contractor payroll records.
- Anthropic (Claude) — AI assistance for drafting and summarising business content. We do not submit unredacted candidate CVs or client-confidential role briefs for model training, and Anthropic does not train its models on our API inputs.
- Website hosting and email — infrastructure to run this site and our business email.

7. International transfers
Some subprocessors are based outside the UK/EEA (for example in the United States). Where data moves outside the UK/EEA we rely on adequacy decisions or the UK International Data Transfer Agreement / EU Standard Contractual Clauses, with supplementary safeguards as needed.
8. How long we keep it
We keep personal data for five years from our last meaningful interaction with you, unless a longer period is required by law (for example tax records) or a shorter period has been agreed. After that we delete or fully anonymise it.
You can ask us to delete your data sooner — see "Your rights" below. We will action the request unless we have a legal reason to retain specific records.
9. How we protect it
Access is restricted to the Addanex team members who need it. Systems are protected by strong authentication, encryption in transit, and access logging. We review supplier security posture before onboarding and periodically after.
10. Your rights
Under UK GDPR you can request access to your data, correction of inaccuracies, deletion, restriction of processing, portability, and you can object to processing based on legitimate interest — including direct marketing at any time.

If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ico.org.uk) or to your local supervisory authority in the EEA.
11. Changes to this policy
We review this policy at least annually and update it when our practices change. The "Last updated" date at the top of this page tells you when it last changed.
